- Waitlist signups: Your email address, if you join our waitlist via the landing page.
- Account data: Your name, email address, and password when you create an account.
- Business data: Information you enter into the platform, including job records, client details, invoice data, usage rights, and audition logs.
- Payment data: Billing information processed via Stripe. We do not store payment card details directly — these are handled by Stripe.
- Usage data: Information about how you interact with the platform, including log data and feature usage.
- Rate Chat queries: Queries you submit to the Rate Chat feature are processed by Anthropic's API. Please see Section 5 for details.
3. How We Use Your Data
We use your personal data to:
- Provide, maintain, and improve The VO Suite platform
- Process your subscription and payments
- Send you service-related communications (account notices, renewal reminders)
- Respond to your enquiries and support requests
- Notify waitlist members when the platform launches
- Comply with our legal obligations
Our legal basis for processing your data is primarily contract performance (providing the service you've signed up for) and legitimate interests (improving the platform and communicating with users). For waitlist signups, we rely on your consent.

5. Third Party Data Processors
We work with the following third parties who process data on our behalf:
Anthropic, Inc. — Rate Chat, our AI-powered quoting assistant, uses Anthropic's API. When you submit a query to Rate Chat, that query is transmitted to Anthropic's servers for processing. Anthropic is based in the United States. We have entered into Standard Contractual Clauses with Anthropic to ensure adequate protection for any data transferred internationally. Stripe, Inc. — Payment processing is handled by Stripe. Stripe is certified to PCI DSS Level 1, the highest standard for payment security. Stripe's privacy policy is available at stripe.com/gb/privacy.
Base44 — Our application is built on the Base44 platform, which hosts and operates the application infrastructure.
Netlify — Our landing page is hosted on Netlify. Netlify's privacy policy is available at netlify.com/privacy.
6. International Data Transfers
Some of our third party processors, including Anthropic and Stripe, are based in the United States. Where data is transferred outside the UK, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the UK Information Commissioner's Office (ICO).
7. How Long We Keep Your Data
- Account data: Retained for the duration of your account. If you close your account, your data will be deleted within 30 days, unless we are legally required to retain it.
- Waitlist data: Retained until the platform launches or until you request removal, whichever is sooner.
- Payment records: Retained for 7 years in line with HMRC requirements.
8. Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify any inaccurate data
- Erase your data (the "right to be forgotten")
- Restrict how we process your data
- Data portability — receive your data in a structured, machine-readable format
- Object to processing based on legitimate interests
- Withdraw consent at any time where processing is based on consent
